Position Summary

The Contracts Manager leads the organization’s contract development and administration, ensuring contracts are prepared, priced, executed, and managed with consistency and integrity. This role owns the full contract lifecycle and plays a key role in translating operational inputs and organizational standards into clear, executable agreements.

By partnering closely with operations, accounting, and executive leadership, the Contracts Manager provides structure and oversight across contract processes, reduces risk, and ensures pricing and contract terms are applied consistently. The role brings clarity and accountability to an area that directly impacts operations, revenue, and long-term sustainability.

Key Accountabilities & Responsibilities

1. Contract Lifecycle Ownership & Administration

· Own the full contract lifecycle, including opportunity and RFP monitoring, intake, proposal preparation and submittal, review, approval coordination, execution, amendment, renewal, expiration, and closeout.

· Oversee the contract database as the system of record for all executed agreements and related documentation.

· Ensure contracts and proposals are processed accurately, consistently, and in a timely manner through execution.

· Assemble and prepare required proposal and contract deliverables using inputs from operational managers and other internal stakeholders, ensuring all required inputs are complete prior to submittal or execution.

2. Pricing & Commercial Governance

· Ensure all contracts adhere to approved pricing strategies, rate structures, and commercial guidelines.

· Partner with leadership to support the development, maintenance, and refinement of pricing strategies.

· Prepare contract pricing using operational inputs and approved pricing models, rate structures, and standards, and review pricing outputs for alignment with established pricing requirements.

· Identify, escalate, and resolve pricing deviations, exceptions, or commercial risks in accordance with organizational approval requirements.

3. Cross-Functional Coordination

· Serve as a central point of coordination between operations, accounting, and executive leadership on contract-related matters.

· Collaborate with accounting to ensure contracts are properly linked to associated revenue accounts.

· Support resolution of billing discrepancies and contract-related revenue issues in coordination with accounting and operations.

4. Risk, Compliance & Standards

· Identify contractual, pricing, and process risks and escalate appropriately.

· Ensure contracts comply with internal policies, approval authorities, and applicable regulatory or contractual requirements.

· Maintain audit-ready contract documentation and controls.

· Exercise authority to return, delay, or escalate contracts that do not meet established contract standards, pricing strategies, or approval requirements.

5. Systems, Process & Continuous Improvement

· Establish, document, and maintain standardized contract administration workflows, tools, templates, and operating procedures, including pricing-related standards.

· Oversee contract data integrity and reporting, whether contract data entry is performed directly or supported by administrative staff.

6. Reporting & Executive Insight

· Develop and provide reporting on contract activity, cycle times, renewals, pricing compliance, and related metrics.

· Surface trends, risks, and improvement opportunities to executive leadership.

Education and Experience

· Bachelor’s degree in business, finance, operations, public administration, or a related field, or an equivalent combination of education and relevant professional experience.

· Minimum 4 years of experience in contract management, contract administration, or a closely related role (6+ years preferred).

· Demonstrated experience owning the full contract lifecycle, including RFP/proposal preparation and submittal, contract review/redlines, execution, amendments, renewals, and closeout.

· Demonstrated experience preparing contract pricing using operational inputs and established rate structures, pricing models, or similar standards.

· Experience maintaining a contract repository or contract management database (CLM or equivalent), including data integrity and basic reporting.

· Experience partnering cross-functionally with operations and accounting to support revenue alignment (e.g., contract-to-account linkage, billing issue resolution).

· Experience supporting multiple lines of business and differing contract structures; nonprofit and/or service-based environments preferred.
